The Association of Apartment Owners of The Esplanade is seeking a qualified individual to fill the Resident Manager position. The Esplanade has 209 units, recreation facilities, boat docks, and storage areas. The individual must have great interpersonal skills, be able to multi-task, manage personnel and complex project, self-motivated, strong work ethic, and must be customer service oriented.

I. Basic Function

A. Responsible for maintaining the physical asset and maximizing the financial returns from that asset in accordance with the owner’s objectives.
B. Responsible for hiring, training, supervising, developing, and terminating all on-site personnel.
C. Assists property manager and supervisors with special projects and administrative tasks.
D. Ensures staff compliance with company policies and procedures.
E. Ensures staff performance of duties on a timely basis.

II. Relationships

A. Reports to property manager and Board President.
B. Supervises all on-site personnel, including staff supervisors and any contract workers.
C. Maintains relationships with all residents, ensuring consistent application of property policies.
D. Maintains relationships with other departments within the company, including accounting, data processing, administration, etc.
E. Maintains relationships with clients, the community, and the professionals.
F. Maintains relationships with suppliers, vendors, and professionals servicing the property.

III. Responsibilities

A. Maintaining the Physical Asset:
1. Supervises maintenance staff, including maintenance supervisor and any contract workers.
2. Supervises scheduling of maintenance work.
3. Establishes schedule of personnel for emergency maintenance.
4. Makes regular follow up inspections on maintenance work.
5. Makes regular inspections of grounds, including all common areas.
6. Makes recommendations for physical repairs, replacements, and/or improvements.
7. Makes recommendations for supplies, materials, and equipment.
8. Recommends expenditures, within budget allocations.
9. Evaluates maintenance operations periodically to determine cost efficiency.
10. Receives repair requests, schedules repairs with maintenance staff, follow up to be certain repairs were completed properly.
11. Requests proposals for common area repairs/maintenance.
12. Manages contracts.
13. Supervises move-in and move-out procedures.
14. Completes additional tasks as assigned by the managing agent and Board of Directors.
15. Handles any emergency that may arise on site.

B. Financial Reporting and Control
1. Assist in preparation of the budget.
2. Review invoicing for accuracy and approves invoicing.
3. Submits Check Requests.
4. Reviews and Submits Personnel Time Sheet.
5. Prepares Petty Cash/Credit Card Reconciliation Reports
6. Makes daily bank deposits.

C. Administration
1. Supervises maintenance of property files and records.
2. Oversees hiring, training, and employment termination of personnel.
3. Performs employee evaluations and recommendations for promotion and/or salary increase.
4. Supervises Personnel: Security, Maintenance, Janitorial, and Landscaping.
5. Communicates all problems and makes recommendations to property manager & Board.
6. Prepares Resident Managers reports.
7. Registers All Residents and provides House Rules.
8. Enforcement of House Rules.
9. Creates and posts notices.
10. Oversees Social Room reservation requests.

IV. Qualifications

A. Education/Experience
1. High school education.
2. Accredited Resident Manager (ARM) status; or
3. Minimum three consecutive years experience as a resident manager or experience in a related field.
B. Minimum three-year managerial experience, supervising three or more subordinates.
C. Ability to handle finances and work within a budget.
D. Appearance compatible with image of property, positive attitude, good sense of humor, energetic, assertive, and capable role model for subordinates.
E. Demonstrated integrity on personal as well as professional level.
F. Excellent communication skills.
G. Attentive to details.
H. Ability to interact with a wide range of people.
I. Ability to solve problems involving residents, personnel, finances, equipment failure, emergency situations, etc.
J. Ability and willingness to substitute for any position.
K. Computer Skills: Email and Microsoft Office.

V. Scope and Compensation Package

A. 40 hours per week and on-call as needed.
B. Salary commensurate with level of experience.
D. One Bedroom Apartment.
E. Two weeks paid vacation after one year of employment year of employment.
F. Ten paid Holidays.
G. Medical, Dental, Pharmaceutical, and Optical Insurance.
H. Reimbursed business travel expenses.
